Participation Terms

The camper and their parents/guardians must agree to the rules and regulations for the health, safety, and welfare of the camp and its campers and staff, including Payment & Cancellation Policy terms.

Campers register for only ONE TECH OPTION per session. If the technology option you want is full, you may choose a different option for that session or change to another session. Minimum number of campers are required for certain tech options. Program is subject to change without prior notice.

Acknowledgement of Risks/Release of Liability

By registering my child, I understand there are certain unavoidable risks associated with various game and play activities, such as collisions, wayward objects (e.g. balls, Frisbees, hockey sticks and other equipment). I am aware of these risks and assume them on behalf of my child. I realize no environment is risk-free, despite a high degree of supervision. Therefore, I have instructed my child on the importance of abiding by the camp’s rules. My child and I both agree they are familiar with these rules and will obey them. 

I acknowledge these risks and agree to let my child participate in all activities (except as noted on the Health Form). I hereby release TIC Summer Camp and any facility (GDS, Langley School, Sidwell Friends) in which TIC Summer Camp is held from all liability for injury arising from child’s attendance at camp, including injury caused by the negligence of TIC Summer Camp or the facility in which camp is held, or both. 

TIC Summer Camp will put in place preventative measures to reduce the spread of any infection diseases including but not limited to COVID-19, in accordance with Federal and State recommendations and requirements in effect during the(ir) time of participation at camp. By registering my child, I acknowledge that TIC cannot guarantee that my child(ren) and anyone in contact with my child(ren). will not become infected with COVID-19. Furthermore, attending the camp could increase the risk to my child(ren) and to myself of contracting COVID-19. I acknowledge the contagious nature of COVID-19 and the risk that my child(ren) and I may be exposed to or infected by COVID-19 by attending the camp and that such exposure or infection may result in personal injury, illness, permanent disability, and death. 

TIC is accredited by the American Camp Association. ACA is the only national accrediting body for camps of all types. ACA's accreditation standards focus on health, safety, and risk management, and are used as benchmarks by government entities. ACA accreditation provides public evidence of a camp's commitment to the well-being of campers and staff. In MD, this designation allows us to also be licensed by the Maryland Department of Health and Human Service. In VA, TIC is exempt from licensure under the provision, Code § 22.1-289.030, Section A.1 which states “A program of instructional experience in a single focus, such as, but not limited to, computer science, archaeology, sport clinics, or music, if children under the age of six do not attend at all and if no child is allowed to attend for more than 25 days in any three-month period commencing with enrollment.“

In the event I cannot be reached in an emergency, I hereby give permission to the appropriate medical personnel, selected by TIC Summer Camp, to provide medical treatment deemed necessary by such personnel. I agree to be responsible for all charges incurred in the treatment of the participant regardless of whether my insurance covers such charges. Parent authorizes the communication of child’s medical condition, treatment, and/or prognosis with the medical staff and camp director, in its sole discretion, if believed to be in the best interest of the child. This authorization expires once the child completes his/her camp session(s). 

TIC agrees to notify the guardians whenever the child becomes ill and the guardian agrees to arrange to have the child(ren) picked up as soon as possible, once notified, and if so requested by the camp. I agree to notify TIC Summer Camp immediately if any member of the household has developed any reportable communicable disease within 24 hours, as defined by the State Board of Health, except for life threatening issues which must be reported immediately. 

I understand and willingly accept and assume full responsibility for all risks, damages, liabilities, losses and/or expenses of any and every kind involved with or arising from my/camper’s participation in camp.

Behavior Code

TIC is committed to having a community in which every camper and staff member can learn, play, and participate in an atmosphere free from all forms of bullying and harassment. Any form of harassment, whether written, oral, physical, visual, or virtual, is strictly prohibited and subject to disciplinary consequences. Bullying or verbal abuse based on race, religion, gender, gender identification, sexual orientation, disability, or physical appearance are not tolerated at TIC. A camper who bullies or is inappropriately physical is sent to the office and parents are notified. That camper may be required to leave camp, with no refund of tuition. The Directors reserve the right to dismiss any participant who violates camp rules or is judged detrimental to the general welfare of programs. 

If your camper typically has behavior issues at school or in less-structured settings and you anticipate they may struggle with the expected acceptable behaviors, or that they may experience high levels of emotional or mental stress in the camp setting, please talk to your Site Director before they arrive at camp! Knowing that your camper is extremely stressed by crowds and loud noises or responds better to discipline after calming down with a book for 10 minutes is incredibly helpful information for us. We can then pass that information on to their counselors, who will understand how to more effectively work with your camper and make their camp experience the best it can be! No one knows your child better than you, so we appreciate any guidance you can provide and will do everything we can to make the necessary accommodations. Unfortunately, we are not able to offer refunds if a camper is dismissed due to behavioral issues.

  • Camper Illness, Injury & Medications

    Our Camp Nurse or Health Advisor will call you as soon as possible if your camper experiences an illness or injury at camp. Any over the counter medication administered will only be done with the consent of the parent or guardian. Campers who require medications must complete a Medication Authorization Form that is signed by a physician (MD only) and provide medication in its original container. Campers with a communicable or infectious disease may not attend camp. Campers who become ill at camp must be picked up as soon as possible or within a reasonable time frame (60 minutes). Emergency contacts will be notified to pick up the child if a parent is not available.

  • Emergencies & Reporting

    In the case of an emergency, parents will be notified as soon as possible. If it is a life-threatening or time-sensitive situation, the proper authorities will be called and/or notified. In the case of weather or other natural disasters, TIC Summer Camp will contact parents via email, web, phone, and text with the information provided. Please make sure your information is up to date in our records. TIC Summer Camp is required to report any suspected child abuse as required by the law.

  • Electronics and Personal Items

    ALL personal items must remain at home; including, but not limited to: Magic cards, Pokemon cards, phones, tablets, AirPods, etc. Campers may bring a backpack to hold their lunch or other necessary items, but they are individually responsible for their personal items. Keeping track of personal items will be supported by camp staff, but responsibility is upon the camper. ALL weapons or gun style items must remain at home. TIC is not responsible for loss and/or damage to any electronic or personal devices.

  • Computer Copyright Laws and Viruses

    We strictly observe copyright laws governing computer software. No “pirating” of any commercial software is allowed. In order to prevent viruses on our computers, campers are NEVER allowed to bring their own software or computer equipment to camp or USB drives to save files.

  • Force Majeure & Binding Arbitration

    In the event, the opening of camp is delayed or camp ends early due to an act of God or civil authority or other reason beyond the control of the camp, no adjustment of tuition will be made.

    It is agreed that any dispute or cause of action arising between the parties, whether out of this agreement or otherwise, can only be brought in the Circuit Court located in Fairfax County, and shall be construed in accordance with the laws of Virginia.

  • Photography

    By registering your camper, you grant TIC Summer Camp permission to use any photograph, film or other images for promotional purposes. If you do not want photographs to be taken of your child, you must submit a request in writing at least two weeks prior to attending camp, along with a photo of your child for us to keep on file.
